  Your Role...

You will be working in a dedicated team within the Office of the Rector in charge of developing, revising and deploying the procedural frameworks for professorial recruitments and appointments, tenure and promotion evaluations as well as special appointments. In particular, the team is responsible for:

  • Coordinating the drafting and reviews of processes and procedures with the rectorate, internal audit and across services and ensure updates of major policies, procedures, tools, and relevant guidelines and templates;
  • Liaising with faculty and centre leadership on all formal procedural matters related to professorial recruitments, appointments and evaluation processes;
  • Ensuring key procedural steps for which the rector is responsible, and advising on all steps of recruitment and evaluation processes; and
  • Drafting information material for management, employees, and external parties and organising and delivering targeted information sessions.

In addition to the above, you will bring specific expertise and be directly responsible for:

  • Contributing to and following up on the academic recruitment strategy and implementing yearly planning processes;
  • Conducting in-depth quality reviews of documents (professorial profiles, recruitment reports) to be presented to the Board of Governors;
  • With HR and faculty and centre contacts, establishing regular reporting and dashboarding of professor recruitment activities;
  • Ensuring and further developing the interfaces to the various services involved in academic recruitment (HR, finance, infrastructure) together with the Secretariat of the Board of Governors; and
  • Managing multistakeholder projects in process design and system review/implementation in these areas.

  What we expect from you…

  • Master’s degree or equivalent by work experience; PhD is a strong asset.
  • Several years experience in an academic setting (University or research institute) working on themes related to academic or institutional strategy/governance or HR strategy;
  • Fluency in English and French (in written and oral) are mandatory. Good understanding of German and/or Luxembourgish is a plus;
  • Exceptional organizational acumen, excellent written and oral communication skills;
  • Adept project management capabilities, and very good analytical and problem-solving skills with orientation to detail;
  • Keen understanding of process design and development of fit-for-purpose tools;
  • Ability to work under pressure and meet tight deadlines, where necessary;
  • Build and maintain a relationship built on trust; and
  • Team player, able to work in an international, multidisciplinary and multicultural environment.
