This position will report directly to the University Registrar and Director of Enrolment Services.

Job Purpose:

The Associate Registrar, Systems and Technology is responsible for maintaining the Peoplesoft Campus Solutions (SIS) system for the American University of Iraq – Baghdad (AUIB). Reporting to the University Registrar/Director of Enrollment Management, the role leverages the technical capabilities of the SIS, along with various third-party integrations, to ensure that AUIB maximizes the potential of those systems in an effort to provide superior service to end users. The incumbent acts as the product owner and data steward of key solutions supporting the Office and as such must have a strong IT background to support PeopleSoft Campus Solutions. Having previous experience working in a post-secondary educational environment, the Associate Registrar will work closely with various departments to identify, and provide solutions, for effective PeopleSoft utilization across the university. Responsibilities include participating in the planning of college-wide systems, infrastructure, and related technology items; managing daily project activities; and recommending policy and procedure modifications. The position will provide technical solutions, support on PeopleSoft implementation, upgrades, testing, feature enhancements, and creative ways to use technology to advance the operational effectiveness of Enrollment Management and other departments. This position ensures the quality and integrity of data that flows through all enrollment systems and offers the most effective technical solutions to ensure the integrity of the system efficiency. The position plays a lead role in coding and configuring technical solutions in the systems, developing complex and real-time reporting and data analysis across the student lifecycle. Finally, the position helps protect the security of sensitive and confidential data by developing, implementing, and maintaining business processes involving data storage, management, and dissemination.

Areas of Accountabilities: Main Activities 

  1. Performs system configuration, maintenance, enhancement, and end user support through Peoplesoft Campus Solutions.
  2. Coordinates efforts to ensure that the PeopleSoft systems and third-party integrated systems support departmental objectives and information management needs.
  3. Promotes and facilitates new functionality or applications.
  4. Builds and maintains a library of queries and reports within PeopleSoft for users and provides data analysis.
  5. Customizes Enrollment Management systems to meet the changing needs and growth of the Enrollment Management department, including the design and execution of application flow from submission through decision release, financial aid and scholarship processes, and course information and student registration.
  6. Performs function integrations for the various PeopleSoft Campus Solutions modules (Student Admission, Student Records, Campus Community, Curriculum Management, Student Financials, Gradebook, Academic Advising, and Contributor Relationship).
  7. Analyzes business processes, procedures and functions, data collection methods and workflow requirements to determine areas of improvement in processes and system functionality.
  8. Designs, configures, develops, tests, and implements approved applications using delivered PeopleSoft tools and functionality, including but not limited to: PS Query, and BI Publisher.
  9. Assist in determining and assigning security access level to the system, forms, and reports.
  10. Coordinates testing of regular system updates and corrects functional problems and deficiencies.
  11. Creates and maintains comprehensive business and technical documentation for Enrollment Management processes, data integration between other enrollment systems, and end user training and support.
  12. Manages user accounts and permissions.
  13. Collaborates with IT on systems integration, along with network and security support for PeopleSoft.
  14. Be a primary point of contact with Oracle/PeopleSoft on service requests.
  15. Troubleshoots systems issues.

Job Requirements:

A: Educational Qualifications:

  • Bachelor's Degree (Master's preferred) in Computer Science, Business, or related field of education.

 B: Minimum Experience:

  • At least five years’ work experience in a related field; prior experience as a registrar for a similar institution is required.
  • PeopleSoft Campus Solutions experience in relation to the responsibilities of this role OR an equivalent combination of education, training and experience.

C: Competencies (Knowledge, Skills & Abilities):

  • Knowledge of project management and system implementation.
  • Demonstrated data analytical skills.
  • Proficiency in business analysis - translating business requirements into functional system designs. • Experience using business intelligence tools.
  • Experience supporting CRM systems.
  • Excellent organizational skills.
  • Strong computer literacy with database familiarity.
  • Excellent interpersonal and communication skills.
  • Excellent written and verbal communication skills in English (Arabic advantage)
  • Proficiency in MS Office (Word, Power Point, Excel) and database applications.
  • Conflict resolution and multi-tasking skills.
  • Demonstrate a high degree of service mindset and delivering results.
  • Demonstrate a high degree of professionalism and the can-do mindset.
  • Manage complex and highly sensitive materials and foster a culture of confidentiality.
  • Strong work ethic with the ability to excel in a demanding, outcome-oriented, and dynamic environment with little supervision.
  • Familiar with American education system is an advantage.
  • Ability to work collaboratively with faculty, administrators, and other staff members.
  • Ability to make balanced judgments and decisions.
  • Ability to work well with individuals from diverse backgrounds.
  • Strong organizational and planning skills.
  • Ability to succeed in a fast-paced environment.
